ManageBiz.in ("we", "us", "our") is operated by a firm with a qualified team of CAs and CSs based in Pune, Maharashtra. This Privacy Policy explains what personal information we collect when you use our website or engage our professional services, how we use it, and the choices you have.

By using our website or services you consent to the practices described in this Policy. This Policy is to be read alongside our Terms of Service.

As a CA firm we are also bound by the confidentiality requirements of the ICAI Code of Ethics, which impose obligations over and above the requirements of this Policy.

2. Information We Collect

We collect information in the following ways:

Information you give us

  • Identity & contact: name, email address, phone number, business name, PAN, GSTIN, Aadhaar number, director/partner details;
  • Financial & business records: invoices, bank statements, salary data, investment details, and other documents you share for us to perform the services;
  • Portal credentials: usernames, passwords, and OTPs you share for filing-related access (e.g. GST portal, MCA21, income tax portal);
  • Communications: messages, emails, WhatsApp conversations, and attachments you send us.

Information collected automatically

  • Usage data: pages visited, time spent, referring URL, browser type, device type, and IP address;
  • Cookies and similar technologies: see the Cookies section below.

Information from third parties

  • Government portals (GST, MCA, Income Tax) as part of delivering the services;
  • Payment processors, to confirm receipt of payments.

3. How We Use It

We use your information to:

  • Deliver the agreed services - prepare and file returns, maintain your books, register your company, or perform any other work covered by the engagement;
  • Communicate with you - send reminders for due dates, share deliverables, respond to queries, and notify you of changes to our services or this Policy;
  • Process payments - issue invoices and reconcile receipts;
  • Improve our services - analyse usage patterns on our website to improve the user experience (using aggregated, de-identified data);
  • Comply with legal obligations - maintain records as required by the ICAI, Income Tax Act, GST law, Companies Act, and other applicable regulations;
  • Prevent fraud - detect and investigate suspicious activity.

We do not sell your personal information to third parties. We do not use your financial documents or business data for any purpose other than delivering the services you have engaged us for.

4. Sharing & Disclosure

We may share your information with:

  • Our team and sub-contractors - accountants, tax professionals, and software vendors who assist in delivering the services, all of whom are bound by confidentiality obligations;
  • Government authorities - GSTN, MCA, Income Tax Department, EPFO, ESIC, or any other authority as required by law or as part of filing on your behalf;
  • Payment processors - to process your payments securely; we do not store full card details on our servers;
  • Legal or regulatory proceedings - if required by a court order, regulatory directive, or applicable law.

We will not share your information with any other third party without your explicit written consent, except as described above.

5. Storage & Security

Your data is stored on secure cloud infrastructure hosted in India or within jurisdictions that provide adequate data protection. We implement the following safeguards:

  • Encryption in transit (TLS/HTTPS) for all data transmitted to and from our website and portal;
  • Encryption at rest for sensitive documents stored on our servers;
  • Role-based access controls - only team members with a legitimate need can access your data;
  • Regular security reviews and access audits.

While we take all reasonable precautions, no system is completely secure. We cannot guarantee the absolute security of information transmitted over the internet. In the event of a data breach that is likely to affect your rights or interests, we will notify you as required by applicable law.

6. Data Retention

We retain your personal information for as long as necessary to provide the services and to comply with our legal obligations. Specifically:

  • Financial records and tax-related documents: 8 years from the relevant assessment year, as required under Indian tax law;
  • Company-related documents: 10 years after the closure or winding-up of the company;
  • Communication and correspondence: 5 years from the end of the engagement;
  • Website usage data (analytics): 26 months, in line with standard practice.

After the applicable retention period, we will securely delete or anonymise your data.

7. Cookies

Our website uses cookies and similar tracking technologies to improve your experience. The types of cookies we use:

  • Strictly necessary: Required for the website to function (e.g. session management, security). You cannot opt out of these.
  • Analytics: Google Analytics 4 - helps us understand which pages are visited and how users navigate. IP addresses are anonymised. You can opt out via the Google Analytics Opt-out Browser Add-on.
  • Marketing: Meta Pixel - used to measure the effectiveness of our ads and to build audiences for advertising. You can opt out via your Meta ad settings.

You can control cookies through your browser settings. Disabling certain cookies may affect the functionality of the website.

8. Your Rights

Under the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and any subsequent data protection legislation, you have the right to:

  • Access - request a copy of the personal information we hold about you;
  • Correction - ask us to correct inaccurate or incomplete data;
  • Withdrawal of consent - where we process data on the basis of your consent, you may withdraw that consent at any time (though this will not affect prior processing);
  • Deletion - request deletion of your personal data, subject to our legal retention obligations;
  • Grievance redressal - raise a complaint about how we handle your data.

9. Children

Our services are intended for businesses and individuals who are at least 18 years of age. We do not knowingly collect personal information from anyone under the age of 18. If you believe we have inadvertently collected such information, please contact us immediately and we will delete it.

10. Third-Party Links

Our website may contain links to third-party websites (e.g. government portals, payment gateways). These sites have their own privacy policies and we have no control over, and assume no responsibility for, their content or practices. We encourage you to review their privacy policies before providing any personal information.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. For material changes, we will notify active clients via email at least 14 days before the changes take effect. Your continued use of our services after the effective date constitutes acceptance of the revised Policy.
